The Sales Module is purpose-built for managing charter bookings for bus operators. It provides all the tools needed to handle customer enquiries, prepare quotes, manage charter configurations, and maintain detailed customer and trip records.
From initial enquiry to confirmed booking, the Sales Module streamlines your charter workflow, making it easy to generate detailed, professional quotes and manage ongoing charter contracts.
Core Capabilities
- Quote Management: Generate multi-trip quotes with recurrence options, configurable pricing, and professional PDF outputs.
- Customer Management: Maintain detailed records of customers and their associated contacts.
- Boarding Points: Define pickup and drop-off locations for charter jobs & add notes to be shown to the driver each time that boarding point is used.
- Extras: Configure optional add-ons, such as tolls, trailers, morning tea kits or meal charges—some of which may carry additional fees.
- Holiday Calendars: Maintain public and school holiday dates for quote pricing and planning.
- Driver Hourly Rates: Configure driver rates to assist in quote pricing.
- Vehicle Types: Define charterable vehicle types, including rate per kilometre and other related vehicle configurations.
- Change Management & Operational Sync: Changes made by the sales team to bookings flow through to the operations team in real time either recreating jobs or flagging them for review. Changes that impact jobs already created and allocated will automatically trigger notifications to operations to ensure they stay informed and can act quickly.
Quoting Features
The quoting system is at the heart of the Sales Module, designed to give operators complete flexibility when preparing charter offers:
- Multi-Trip Quotes: Create quotes with multiple trips, each having unique pickup/drop-off points, timings, and requirements.
- Recurring Charters: Set up quotes that repeat on a regular schedule—weekly, monthly, or custom frequencies. If changes occur midway through the recurring schedule, make changes & apply them to all future bookings if required.
- Quote Duplication: Speed up workflow by duplicating existing quotes as templates and turning them into new quotes.
- Attachments: Upload booking and trip specific attachments which will flow through to Operations staff and drivers. Driver’s will have access to these attachments via the Driver’s App, the Driver’s Kiosk and on the Vehicle Mounted Tablets.
- Notes: Record notes targeted towards customers, internal staff, or drivers to ensure clear communication at every level.
Configurable Pricing Calculations
The configurable pricing calculator makes it easy for sales staff to create consistent and accurate quotes.
- Cost Types: Pricing can be based on either a pre-negotiated contract price, or using the calculated price.
- Vehicle Type Calculations: Derived from vehicle type rates (per kilometre). Vehicle types can have a fixed rate per km, or rates based on the range of the distance being travelled.
- Driver Rate Calculations: Driver rates are based on the date of travel, allowing for different rates according to planned increases or seasonal demand. Driver costs are automatically adjusted for weekdays, Saturdays, Sundays, or public holidays, and can also account for waiting times with their own defined rates.
Contract Charters
In addition to one-off bookings, the Sales Module supports Contract Charters, allowing operators to:
- Schedule Recurring Jobs: Plan fixed charter work in advance using a defined schedule.
- Shift-Based Job Planning: Create charter jobs that function like route services, with shifts that can be invoiced at the end of the billing cycle.
- Integrated Rostering: Align contract charter shifts with existing school and urban routes, simplifying driver allocation and avoiding scheduling conflicts.
